The SportsSignup system collects information about Registrants on behalf of the organization ("Customer") in which a Registrant is participating, for use by the Customer. SportsSignup acts as an agent in collecting information from Registrant for the Customer and produces a variety of reports and notifications for the Customer about Registrants. Customers can grant administrator privileges/rights to certain individual(s) (known as "Administrator" or "Administrators") for the purposes of managing and operating the system. Administrators can be assigned any number of privileges including full access to Registrant information.
This Policy does not apply to the practices of companies that SportsSignup does not own or control, or to people that SportsSignup does not employ or manage, including Administrators or other individuals granted access to information by the Customer.
The Personal Information we collect on the site includes first name, last name, email address, mailing address, birthdate, grade, medical information (e.g. allergies, doctor name, etc.), and any additional information the Customer may choose to collect.
Personal Information is protected by a password that Registrant chooses. Users should assure that the password selection is not obvious (name, address, etc.) and should change it periodically. Personal Information is stored in a database that supports industry-standard security and controls.
Registrants can add their photograph, primarily for Administrators and/or coaches to identify participants, or to facilitate the printing of a photo-based identification card. If a Registrant is uncomfortable with a photograph as part of their account information, they should delete it (or not add one).
Teams & TeamWALL™
Administrators have the ability to create and manage a “Team” or "Teams". A Team is defined as a group of Registrants, typically referred to as a “Team Roster” or “Roster” that are co-participants during a sport season. The group of Registrants on a Team may also be referred to as "Team Members". For example, a soccer Team might consist of 15 players/participants and 3 coaches/assistant coaches, who are all considered Team Members.
Teams: Public Information
Personal Information for Team Members may be shared for the purpose of display on the Customer website or for use with 3rd party applications/websites, for example, game scoring/player statistics applications. The default Team Roster data for such public consumption is limited to the following: Player/participant first name, player/participant, last initial, Session/Division name, Team name and jersey number. This limited Team Roster information is only accessible publically if the Registrant has been placed on a Team Roster and made accessible by an Administrator. This is also known as "Activating" or "Activation" of a Team.
An Administrator may change the default Team Roster data that is displayed on the Customer website or for other purposes. For example, an adult-only league may decide to display full names of players/participants for the purposes of displaying statistics on the Customer website or on another public website controlled by the Customer. Registrants are advised to check with their organization regarding the use and privacy of Personal Information collected on behalf of the Customer, and how/where it is displayed.
With the exception of publically available Team Roster information, other Personal Information associated with players/participants on a Team Roster is not shared with any party other than the authorized representatives of the Customer, unless we are required to do so to complete a requirement for a Customer. For example, Registrant information may be sent, or "submitted," as part of a Team Roster submission process from the Customer to Customer’s parent organization(s). Registrants are advised to check with their organization regarding the use and privacy of Personal Information collected on behalf of the Customer and how/where it is displayed.
Teams: Personal Information Sharing
The Registrant’s “Contact Information” consisting of first name, last name, parent/guardian name(s), parent/guardian mailing address, parent/guardian phone number(s), parent/guardian email address(es) and are available as “view only” fields by other Team Members, and are only accessible if a) the Registrant has been placed on a Team Roster by an Administrator; b) the Team Roster has been made accessible by an Administrator, also known as "Activating" or "Activation" of a Team; c) the Registrant (other Team Member) viewing the information has logged in and authenticated using their unique username and password; and d) the Registrant has not disabled the sharing function for any of the fields mentioned above.
The Registrant’s Contact Information as described above, including any emergency contact information and medical information (e.g. allergies to be aware of, Registrant’s doctor, etc.) as specified by the Registrant, is always shared with Team Members identified as “Privileged Volunteers”. A Privileged Volunteer is an individual designated by an Administrator as a coach, assistant coach, or manager, or similar roles that require access to such information to communicate with Team Members or to contact someone in the case of an emergency. Conversely, Contact Information about Privileged Volunteers is always shared with other Team Members, so Team Members have a way to contact their coach, etc. Please contact the organization you are participating with if you have questions about what roles are considered Privileged Volunteers.
Team information sharing is strictly limited to Personal Information of adults. Personal Information about children on Team Rosters, with the exception of their first and last name, are never shared with other Team Members. At any time, Registrants can modify their sharing settings such that no additional Personal Information (with the exception of first and last name) will be shared with Team Members.
We may provide your personal information to companies that provide services to help us with our business activities such as shipping your order or offering customer service. These companies are authorized to use your personal information only as necessary to provide these services to us.
Policy for Minors
Updating/Correcting Personal Information
For SportsSignup account holders and end users, Personal Information collected (e.g. name, address, phone numbers, etc.) can be updated, deleted or modified by logging into your SportsSignup account and clicking on “Contact Info” at the top of the page. At any time, Registrants can modify their Team Sharing settings such that no additional Personal Information (with the exception of first and last name) will be shared with Team Members.
Cookies and Tracking Technologies
Technologies such as: cookies, beacons, tags and scripts are used by League Sports Service LLC, affiliates, or analytics or service providers. These technologies are used in analyzing trends, administering the site, tracking users’ movements around the site and to gather demographic information about our user base as a whole. We may receive reports based on the use of these technologies by these companies on an individual as well as aggregated basis.
Analytics / Log Files
As is true of most web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data. We do not link this automatically collected data to other information we collect about you.
Behavioral Targeting/ Re- Targeting
We partner with a third party to either display advertising on our Web site or to manage our advertising on other sites. Our third party partner may use technologies such as cookies to gather information about your activities on this site and other sites in order to provide you advertising based upon your browsing activities and interests. If you wish to not have this information used for the purpose of serving you interest-based ads, you may opt-out by clicking here.
Local Storage Objects (LSOs) HTML5
We use Local Storage Objects (LSOs) such as HTML5. Third parties with whom we partner to provide certain features on our site or to display advertising based upon your Web browsing activity use LSOs such as HTML 5. Various browsers may offer their own management tools for removing HTML5 LSOs.
Credit Card Information
When Registrants use the SportsSignup system to make payment via credit card, the payment information is entered on a secure web page, using SSL encryption and processed via a merchant account. Only the last 4 digits of the credit card number are stored in the SportsSignup system. The Customer name (e.g. Springfield Soccer League) will appear on the Registrant’s credit card statement.
The SportsSignup system is PCI Complaint. SportsSignup is enrolled in Trustwave's Trusted Commerce program, a third party service provider, to validate compliance with the Payment Card Industry Data Security Standard (PCI DSS) mandated by all the major credit card associations including: American Express, Diners Club, Discover, JCB, MasterCard Worldwide, Visa, Inc. and Visa Europe.
Trustwave's Trusted Commercesm designation indicates that SportsSignup protects credit card and order information in accordance with payment card industry best practices.
We follow generally accepted standards to protect the personal information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, we cannot guarantee its absolute security. User Data Supplementation
SportsSignup provides a service, called KidSafePlus®, to help manage the background check process for individuals designated by our Customer. While it is understandable that consumers are reluctant to disclose their Social Security Number, it is a crucial piece of information to help ensure the name being provided will match potential criminal records, to acquire a list of possible aliases used, and to provide additional information reduce the number of false positives resulting from “common name” matches. Social Security numbers are captured as part of a Registrant’s profile, and passed on to our background check partner (via secure communications), who performs the background check. The specific background check provider used is fully disclosed during the background check registration process. The Social Security numbers are deleted from the SportsSignup system once the results are returned (often minutes after the user supplies the information).
We post customer testimonials on our web site, which may contain personal information such as the customer's name. We do obtain the customer's consent prior to posting the testimonial to post their name along with their testimonial. If you wish to update or delete your testimonial, you can contact us at email@example.com.
E-mailing Registrants is the primary method by which Customers communicate with Registrants - and a vital component of the SportsSignup system. Therefore, Registrants can expect to receive periodic e-mails from the Customer regarding sign-up deadlines, meeting notices, and other timely notifications.
E-mail information collected is not shared with any other party, unless authorization is granted and explicitly defined in SportsSignup’s Service Agreement with Customer. Registrants are advised to check with their organization regarding the use and privacy of Personal Information collected on behalf of the Customer.
If you wish to subscribe to our newsletter(s), we will use your name and email address to send the newsletter to you. Out of respect for your privacy, you may choose to stop receiving our newsletter or marketing emails by following the unsubscribe instructions included in these emails, accessing the email preferences in your account settings page or you can contact us at Marketing@SportsSignup.com
We reserve the right to disclose your personal information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on our web site.
If SportsSignup is involved in a merger, acquisition, or sale of all or a portion of its assets, you will be notified via email and/or a prominent notice on our Web site of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information.
If you use a bulletin board, blog, or chat room on this web site, you should be aware that any personal information you submit there can be read, collected, or used by other users of these forums, and could be used to send you unsolicited messages. We are not responsible for the personal information you choose to submit in these forums. To request removal of your personal information from our blog or community forum, contact us at firstname.lastname@example.org. In some cases, we may not be able to remove your personal information, in which case we will let you know if we are unable to do so and why.
